PA For Company Chairman - 35-45K (Tax Free) - LONDON/ DUBAI

 

This company began over 100 years ago, and is a major international producer of Packaged Food and is listed on the New York Stock Exchange. The company sells in over 40 countries worldwide.The company headquarters are in Dubai, United Arab Emirates and other offices include India, US and the United Kingdom.

This exciting PA role will be to support the Chairman of a luxury food company. The role has a requirement of extensive global travel (especially during the first six months) although based in London. There will be the requirement on average to spend on average two weeks of each month, travelling with the Chairman, predominantly in India, US and Dubai, along with other countries on an ad-hoc basis.

 Job specifications:

  • Co-ordinate and book travel and accommodation using the host of clients and relationships currently provided to the company and the Chairman (to include flights hotels, drivers, charters and visa applications).
  • Build effective and enduring relationships with the contacts and clients, vendors and suppliers.
  • Regularly update and maintain the Chairman’s contacts list/client base and make arrangements for delivery of gifts / correspondence during special occasions. 
  • All personal requests for the Chairman must be considered and put in place in all work and live spaces visited and must all be duly maintained throughout.
  • The PA must meet and greet and host high profile clients throughout the day in a friendly and professional manner. 
  • Comprehensive and efficient diary management and forward planning of diary engagements with relevant team members/ external clients.
  • Work alongside Chairman’s Assistant in India to pro-actively manage the complex diary and calendar.
  • Email management for the Chairman where applicable and organising correspondence on behalf of the Chairman and responding on his behalf where applicable and appropriate.
  • Regularly set up conference calls across multiple time zones for numerous attendees globally.
  • Arrange business meetings and lunches for the Chairman within different time zones.
  • Attend meetings when required, taking notes and producing action points with follow up strategy.
  • Reconciling expenses for employees and seeking approval from Chairman for these.  Coordinating for signed expenses to be paid from Dubai.
  • Full co-ordination of any international events that the Chairman attends or sponsors.
  • Project management of company events, PR and other requests globally where required.
  • Management of personal business for the Chairman when required, such as family holidays and events, and occasional PA support across a range of private matters when required.
  • PA support to Amira Foundation.
  • Co-ordination of Press Releases and other content for the Company when required.
  • Co-ordination and support of Film Production for the Company when required.

Person Specifications:

  • Experience of working in a professional PA role with global responsibilities.
  • Attractive, charming, as well as a fast learner and a quick thinker. 
  • High degree of common sense and demonstration of working with competence and efficiency. 
  • Immaculate attention to detail with a can do attitude.
  • Pro-active, strong sense of judgment and initiative is a must. 
  • Un-floundering in a pressured environment and committed to a demanding work load. 
  • Flexible and readily available to travel and enthusiastic to travel globally alongside the Chairman.
  • Adaptable to ever changing environments.
  • Professional and positive attitude is a must, personable and approachable.
  • Strong team player with the ability to build and maintain strong working relationships.
